DG Recruitment is a recruitment agency, and also develops and maintains its own internal Recruitment CRM software, used by our own recruiters and made available to other independent recruiters. This Privacy Policy explains how we handle personal data across our website, our recruitment services, and our Recruitment CRM software.
Website visitors
If you simply browse our website, we collect standard technical data (such as pages visited and browser type) to keep the site running correctly and secure. If you submit a contact form, we collect the details you provide (name, email, message) solely to respond to your enquiry.
Cookies
Our website may use cookies for basic functionality (such as remembering your preferences) and, where enabled, for anonymised analytics to help us understand how the site is used. You can control or delete cookies at any time through your browser settings.
Candidates and clients
As a recruitment agency, we process personal data about candidates (such as CVs, work history, contact details, and interview notes) and about client company contacts, in order to provide recruitment services — matching candidates to roles, arranging interviews, and managing placements.
We only share candidate data with client companies where relevant to a specific role you have been put forward for, and only with your knowledge as part of the recruitment process. We retain candidate and client data only as long as reasonably needed for recruitment purposes, and in line with our data retention practices, including automated database hygiene that flags inactive records for review or removal.
Recruitment CRM software and third-party integrations (including Google Calendar)
Our Recruitment CRM software is built on a local-first, “Privacy-by-Design” model. A full technical explanation of how the software handles data is available on the Recruitment CRM product page. In summary:
- Local storage: candidate profiles, notes, documents, and task histories are stored locally on the recruiter’s own computer, not on our servers.
- User-owned integrations: where the software connects to an external service — including Google Calendar — it does so using the recruiter’s own personal account and their own credentials, not a shared DG Recruitment account.
- No telemetry: we do not collect usage statistics or “phone home” data from installations of the software.
Google Calendar integration specifically
The Recruitment CRM optionally connects to a recruiter’s own Google Calendar to keep interview and meeting scheduling in sync between the CRM and their calendar. This integration:
- What we access: only calendar access (creating, viewing, updating, and deleting events on the calendar the recruiter connects) — never email, contacts, or any other Google data.
- How we use it: solely to read and write scheduling events (such as interviews and candidate meetings) so they appear correctly in both the CRM and the recruiter’s own Google Calendar.
- Who it’s shared with: no one. This integration is authorised directly between the recruiter’s own Google account and their own instance of the software — calendar data is not transmitted to or stored on DG Recruitment’s servers, and is not shared with, sold to, or transferred to any third party.
- How it’s protected: calendar data is handled within the recruiter’s own local, encrypted CRM database and their own Google account — it is never uploaded elsewhere by our software.
- How long we keep it: we do not retain any copy of this data ourselves — it stays within the recruiter’s own local CRM installation and their own Google Calendar for as long as they choose to keep it there.
- How to revoke access: at any time, either from within the CRM’s Settings, or directly from the recruiter’s Google Account permissions at myaccount.google.com/permissions.
We do not, and will not, use Google user data (including Google Calendar data) for serving advertisements of any kind, including retargeting, personalised, or interest-based advertising; for determining creditworthiness or for lending purposes; to sell, license, or transfer to data brokers or other information resellers; or to train or improve any generalised, non-personalised artificial intelligence or machine learning model. Google Calendar data is used exclusively to provide the calendar-sync functionality described above, for the recruiter who authorised it.
How long we retain data
Contact form submissions are retained only as long as needed to respond to and resolve your enquiry. Candidate and client data handled through our recruitment services is retained only as long as reasonably necessary for recruitment purposes, subject to your rights below. Calendar data accessed through the Recruitment CRM’s Google Calendar integration is not retained by us at all — see “How long we keep it” above.
Your rights over your data
If we hold personal data about you — as a website visitor, candidate, or client contact — you have the right to request a copy of that data, ask us to correct it, or ask us to erase it, except where we are required to keep it for legal, administrative, or security reasons. To exercise any of these rights, contact us using the details below.
How we protect data
We take reasonable technical and organisational measures to protect the personal data we hold, and our Recruitment CRM software is specifically designed to minimise data leaving the recruiter’s own computer in the first place.
Changes to this policy
We may update this Privacy Policy from time to time, for example as our services or software evolve, and we will update the “Last updated” date below whenever we do. If a change materially affects how we use Google user data, we will take reasonable steps to notify affected users of the change.
